Terms of service

The agreement between your clinic and us. Written to be read, not to be survived.

Who this is between

These terms are between your clinic and [Legal entity name — add this in config/company.php before launch], of [Registered address — add this in config/company.php before launch]. By creating a workspace you accept them on behalf of your clinic.

What you get

Access to the software for one clinic, for as long as the subscription is paid. Unlimited staff accounts, unlimited patient records, and every feature included in the published price. We do not charge separately for users, messages, or the booking page.

If we introduce something genuinely new and optional that carries a real per-use cost, we will say so plainly rather than quietly reclassifying an existing feature as an add-on.

Your data is yours

You own your clinic's data, including every patient record in it. We claim no ownership over it and acquire no right to use it beyond running the service for you.

You can export your records at any time, including during a trial and including after a subscription lapses. This is not conditional on your account being in good standing.

What we ask of you

  • Enter patient information only where you are entitled to, and obtain whatever consent your profession and country require.
  • Keep staff accounts to real people. Sharing one login defeats the audit log and your own record of who did what.
  • Send patients only messages they would expect — appointment reminders and confirmations. Marketing blasts through this service are not permitted, and would put the clinic's own WhatsApp account at risk.
  • Do not attempt to access another clinic's data, or to probe the service for weaknesses without telling us first. Reports of genuine security problems are welcome and will not be met with hostility.

Trials, billing and cancellation

Every new clinic starts with a free trial. No card is required to begin, and nothing is charged automatically when a trial ends — the workspace simply becomes read-only until a plan is chosen.

Subscriptions are billed monthly in advance. You can cancel at any time and keep access until the end of the period already paid for. See our refund policy for what happens to money already paid.

If we change the price, existing clinics get at least 30 days' notice by email, and the new price applies from the next renewal — never retroactively.

Suspension

We may suspend a workspace if payment fails and remains unresolved, or if the service is being used in a way that endangers other clinics or breaks the law. Except where we are legally compelled to act immediately, we will contact the account owner first and give a chance to put it right.

Availability, honestly stated

We do not offer a contractual uptime guarantee, and we would rather say so than publish a number we cannot back with the infrastructure we run. The service is operated with reasonable care, monitored, and backed up. It will occasionally be unavailable.

Do not rely on this software as the only place a clinically important record exists where losing access to it for a day would harm a patient. Export regularly.

Liability

The service is provided as it is. To the extent the law allows, our total liability to your clinic in any twelve-month period is limited to the amount you paid us in that period.

Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.

This software is a record-keeping and scheduling tool. It does not provide clinical advice and must not be treated as doing so. Clinical decisions remain the practitioner's.

Changes to these terms

Material changes are notified to account owners by email at least 30 days before they take effect. If you do not accept them you may cancel before they apply.

These terms have not been reviewed by a lawyer. Before selling into a regulated market they should be.
